Office Administrator
Status: Full-time, hourly

Summary
The Office Administrator plays an integral role in supporting the daily operation, organization, and professionalism of the office. This position serves as the primary point of contact for visitors, clients, and vendors while providing administrative support to employees and management.
The Office Administrator is responsible for front-desk coverage, visitor access, incoming and outgoing mail, office and breakroom supplies, meeting coordination, and general office upkeep. This role also assists with confidential mail, borrower correspondence, refund-check processing, and bank deposits. A successful Office Administrator demonstrates professionalism, discretion, strong organizational skills, and the ability to manage multiple responsibilities independently.
Expectations
- Greet visitors, clients, and vendors and provide professional front-desk support. Maintain the office visitor sign-in book and accurately track visitor access fobs.
- Process incoming and outgoing mail and packages accurately and promptly.
- Receive, review, scan and route confidential information delivered through the mail or other carriers to the appropriate team members with accuracy, discretion, and professionalism. Maintain documentation for record-keeping.
- Order, purchase, and maintain adequate levels of office supplies and breakroom supplies.
- Monitor office printers, scanners, and related equipment and report technical or maintenance issues to Information Technology.
- Assist the Finance department with refund-check research, processing, deposit preparation, and other data entry related tasks.
- Maintain a clean, organized, professional, and efficient office environment.
- Follow established confidentiality, document-retention, information-security, and office-access procedures.
- Communicate office supply, equipment, facility, visitor, or administrative concerns to the appropriate manager.
- Perform other administrative and office-support duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and competing priorities.
- Demonstrated attention to detail and commitment to accuracy.
- Ability to work independently, exercise sound judgment, and recognize matters requiring management review or escalation.
- Ability to handle confidential, financial, and borrower-related information with discretion and professionalism.
- Strong interpersonal and customer-service skills, with the ability to interact professionally with visitors, clients, vendors, employees, and senior management.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Ability to operate standard office equipment, including printers, scanners, postage equipment, and shredders.
- Ability to coordinate meeting refreshments, purchase office supplies, and complete local business errands as needed.
- Reliable transportation and a valid driver's license may be required for bank deposits, post-office visits, supply purchases, and meeting-related errands.
- This is an on-site position with the option of working from home in the afternoon.
